User Fields
Username Required
The username appears on the Transaction screen to identify the person involved in the transaction. This can also be used as the ID used to sign into the software. CANNOT BE DUPLICATED IN DATABASE
First Name Required User's first name
Last Name Required User's last name
Email User's email address—The address must be entered in email format: no spaces, a "@" and a "." must be included. CANNOT BE DUPLICATED IN DATABASE
Department Required User's department - it is populated with choices from the Department table.
Select the appropriate Department from the dropdown list.
Cost Center The user's cost center, if a cost center is assigned to individuals.
Role Required User's authorization level within the user interface.
Choose the appropriate role for the enrollee from the dropdown list
USER Basic user – The majority of users will be assigned this role
P WERUSER Reporting or data maintenance user – needs access to reports or access to add and edit configuration tables. Examples: managers, supervisors, human resources or analysts, .
MAOAGER Inventory management user – This role is only assigned to those that directly manage in- ventory data. Examples: Purchasing Manager or Inventory lnalyst
ADMIO Data management user – This role is reserved for those that maintain the data. Most sites will have no more than two Admins.
Numeric code identifying user in the Access Control unit (keypad on machine door). Access
Access ID
ID is used with methods to authenticate: 1. PIN, 2. RFID Card, 3. Fingerprint CANNOT BE
DUPLICATED IN DATABASE. MUST BE A NUMBER BETWEEN AND 65525
5 Digit PIN One method to authenticate to Access Control unit. Numeric code (of up to 5 digits) is used along with the Access ID to gain access to the machine.
Sync to Access Control
Check this check box for ALL users that will physically access the machine. It MUST be checked in order for the user's information to sync into the Access Control unit on the ma- chine. (It takes about 5 minutes for a new or an edited user's data to sync with the Access Control unit.) If this is checked Access ID and 5 Digit PIN fields are required.
Card ID RFID or HID cards are another method to authenticate. If using cards, the code from the card is entered in this field. An Access ID is required to use a card ID.
Password Required Password for user to access the UI or CUI. For users that will not be accessing the UI or
CUI, enter a generic placeholder password. For Example: 1run2blue
Y – The user is active (default)
Active Required
N – The user longer has access to the machine or system
Change this field to "N" for inactive users. DO NOT DELETE users.
